Scanning is the process of converting a paper copy, transparency, negative, or print to a digital file. Our highly skilled scanning technicians ensure accurate, high resolution scanning. We use advanced model high-speed scanners to convert documents and images into a digital image graphic file. We scan images to multiple formats such as TIFF, GIF, RTF, PDF, and JPEG. Once digitized, the documents and images are archived and stored onto a Compact Disc. The final output can be sent as an e-mail attachment, in CD, or directly uploaded through FTP according to the client’s preference or Hosted in our Virtual Document Warehousing.
Indexing plays a vital role in retrieval of the scanned images from the image storage. Based on the customer’s requirement, we can create index database or do data entry in the existing index database of the customer.


Backlog document conversion.


There are several questions you may want to ask:

  • Should I convert all my documents?
  • Should I do it myself?
  • How can I make the process cheaper and faster?


Should I convert all my documents?
The most common question is whether to convert all your documents (Backlog) or some of it in addition to your new ones (day-forward). The answer is, yes, convert the whole lot if your documents have a long life-cycle. Often, not all documents have a long life-cycle, and you might want to restrict the amount and type of documents to be converted.

Should I do some or all of the conversion myself?
Your choices are - do it yourself or hire a scanning service bureau to do it for you.

To do it yourself you must be:

  • Have the know hows in managing and organising the backlog scanning
  • Domain (document management) knowledge expertise
  • Equipped with scanning hardware and software
  • Able to allocate time out from you and your staffs busy schedule


In addition you will require workers for the conversion who:

  • Can operate scanners and OCR equipment
  • Know Document Management software
  • Will work for competitive wages


Meeting all of these criteria is a daunting challenge for most organisations not to mentioned finding enough skilled workers or time to complete the job. The result is compromise: Your workers perform the conversion as well as their own jobs - quality on both fronts suffer.

How can I make the process cheaper and faster?
There are a number of things one can do to facilitate the document conversion process:

  • Thoroughly understand the indexing scheme you want to use, and whether you'll need OCR, formatted OCR or ICR.
  • Get rid of "junk" documents you don't really need.
  • Remove all staples.
  • Mark each carton with a simple, effective serial number.
  • If you'll need some of your documents while they are being converted, make copies for yourself.
  • If you are giving your scanning service bureau documents in pieces (separate boxes), develop your own indexing scheme for the boxes so you'll have an audit trail of where the boxes are (service bureau will maintain a "mirror" trail with you).
  • Do a trial run with your scanning service bureau to validate sample scans, file structures, and indexing schemes. Provide samples of all sizes shapes of documents to be scanned.
